Privacy and your artwork

What you send us

• Your logo, event artwork, or reference files (PNG, JPG, PDF, or SVG, up to 15 MB).
• Your name, email address, and optional phone number.
• Your company or event name (if provided), chosen design, quantity, artwork placement, and any details you include in an inquiry.

Why we store it

We use your artwork and order or inquiry details to show your digital mockup, review production suitability, prepare your order or quote, and respond to you. Your artwork is used only for your own order or inquiry, not our marketing without your permission.

How requests and mockups are processed

Viewing or downloading a mockup does not submit an inquiry or add a design to your order. When you save a design to your order, its artwork assignment and placement are kept with that design. If you submit an inquiry or volume pricing request, we save the details you provide to follow up. Payment and shipping details are collected at secure checkout when checkout is available.

Optional background removal

If you choose the optional background removal step, only that PNG or JPG image file is sent from our own servers to PhotoRoom, a specialist image service, purely to create a see through version of your logo. No name, email address, company, event details or notes are ever sent with it, PDF and SVG files are never sent, and nothing is sent unless you choose the step yourself. The see through version is stored privately with your original and is deleted on the same schedule.

How your artwork is protected

• Files are stored in a private, access-controlled location. There are no public links to your artwork.
• Only authorized Souvees administrators can view your file, and only through secure temporary links that expire within minutes.
• Stored files are given randomized names, so your original filename is never exposed in a link.

How long we keep it

Artwork for a submitted request is generally retained for 180 days. Artwork attached to a paid order is protected while the order is active and may be retained for up to two years after shipment; shared files are kept while another order still needs them. You may request earlier deletion where possible. Unsubmitted drafts may have a shorter retention period.

Site analytics

We count selected interactions within our own site to understand how visitors use Souvees. These internal counts do not include names, email addresses, uploaded artwork or request numbers. We also use Google Analytics to measure site visits and usage. Google Analytics only runs after you choose to allow optional cookies; while it is active it uses cookies such as _ga and _ga_* to remember visit details (for example a random visitor identifier and visit timestamps) for up to two years. We also use the Pinterest Tag to measure visits and the performance of our Pinterest ads; it runs only after the same optional-cookie choice and may set cookies such as _pin_unauth to help Pinterest attribute visits and conversions. If you decline, none of these cookies are set and you can still browse and order normally.

Cookies and browser storage

This site uses browser storage to remember your order designs, support your current session (including secure access to a mockup when applicable), keep you signed in, and remember your cookie choice. These essential features are separate from marketing email consent. Optional analytics and advertising cookies (Google Analytics and the Pinterest Tag) are only used if you accept them through the cookie banner; rejecting them will not prevent you from browsing or ordering. You can change your choice at any time by clearing your browser storage for this site, or contact us for help.

Marketing email is always optional

Some forms include a checkbox for news about new Souvees designs. It is always unchecked by default, and requesting a mockup or submitting an inquiry never subscribes you to marketing on its own.

Email and our systems

We reply to requests by email from the Souvees team. Branded automated emails are prepared but switched off, so nothing is sent automatically today. When a mockup email is sent, it never carries your document as an attachment. It carries a private link that opens your mockup on our site and stops working once it expires, is replaced, or your request is deleted. Request records are also prepared for our customer management system so a complete request can be sent there later; until that connection is switched on, nothing is sent to it.

Automated email remains subject to sending-domain verification, required sender and unsubscribe settings, and legal review before it is switched on.

Requesting deletion

You can ask us about your personal details or request deletion of uploaded files at any time. Email info@souvees.com with enough information to identify your inquiry or order. We will review your request, including whether an active order requires us to retain the artwork.
